At a physical event, as attendees explore the show floor and visit exhibitor booths, exhibitors can speak with them face-to-face and collect their contact information by scanning their attendee badge using a lead retrieval device. The scanned attendee contact information is collected into a leads report.
At a virtual event, attendees can chat with or meet with exhibitors virtually via a virtual booth. If attendees gives consent, their contact information is collected into a leads report with details about what attendees clicked on or interacted with.
Depending on the format of your event, exhibitors can have a physical booth in an exhibit hall or they can have a virtual booth online. The way exhibitors collect information (via badge scanners or via clicks on the virtual booth) determines how it is collected in the Leads Portal.

Set the Event Format
To display leads in the Leads Portal, first choose the format for your event (On-Site, Virtual, or Both (Hybrid)). This setting determines many event configurations behind-the-scenes, including what exhibitors see in their Leads Report.
Note: In the near future, both virtual and physical leads will be in the same report; however, at this time, physical and virtual lead reports must be viewed and downloaded separately.
To set your event's format:
- In RainFocus Admin, click the event name (upper right), then click .
- In Event Type, select the event type.
- Onsite - Event is onsite and exhibitors scan attendee badges to collect their contact information
- Virtual - Event is virtual and exhibitors can collect information when attendees interact with their virtual booth
- Hybrid - Event is both and uses both onsite and virtual components.
- Scroll down and click Save.
After an administrator determines the event format, exhibitors can manage their leads from the options on the leads portal.
For on-site events, exhibitors can manage their devices in the Leads Portal (under Manage Devices).
In Manage Devices, exhibitors can purchase and manage leads devices. Each tile displays the number of leads collected on each of the exhibitor's lead devices.
For help using each device, see Use the Lead Retrieval App.
